3. Collection, processing and usage of personal data

Personal data consists of all information related to an identified or identifiable natural person, this includes, e.g. names, addresses, phone numbers, email addresses, contractual master data, contract accounting and payment data, which is an expression of a person's identity. The categories of personal data processed differ for each Online Offer. This information can be found below in the special data protection notice for the respective Online Offer.

We collect, process and use personal data (including IP addresses) only when there is either a statutory legal basis to do so or if you have given your consent to the processing or use of personal data concerning this matter, e.g. by means of registration. We and our service providers process your personal data only for processing purposes, which you can see below in the special data protection notices for the respective Online Offer.

3.2 Children

This Online Offer is not meant for children under 16 years of age.

3.3 Data transfer to other controllers

Principally, your personal data is forwarded to other controllers only if required for the fulfillment of a contractual obligation, or if we ourselves, or a third party, have a legitimate interest in the data transfer, or if you have given your consent. Additionally, data may be transferred to other controllers when we are obliged to do so due to statutory regulations or enforceable administrative or judicial orders.

3.5 Duration of storage, retention periods

Principally, we store your data for as long as it is necessary to render our Online Offers and connected services or for as long as we have a legitimate interest in storing the data (e.g. we might still have a legitimate interest in postal mail marketing after fulfillment of our contractual obligations). In all other cases we delete your personal data with the exception of data we are obliged to store for the fulfillment of legal obligations (e.g. due to retention periods under the tax and commercial codes we are obliged to have documents such as contracts and invoices available for a certain period of time).

4. Newsletter with opt-in; Right of withdrawal

Within the scope of our Online Offers you can sign up for newsletters. We provide the so-called double opt-in option which means that we will only send you a newsletter via email after you have explicitly confirmed the activation of the newsletter service to us by clicking on the link in a notification. In case you wish to no longer receive newsletters, you can terminate the subscription at any time by withdrawing your consent. Our employees and the companies providing services on our behalf, are obliged to confidentiality and to compliance with the applicable data protection laws.

We take all necessary technical and organizational measures to ensure an appropriate level of security and to protect your data that are administrated by us especially from the risks of unintended or unlawful destruction, manipulation, loss, change or unauthorized disclosure or unauthorized access. Our security measures are, pursuant to technological progress, constantly being improved.

7.1 Right to information and access

We as well as the service providers commissioned by us process your personal data for the following processing purposes:

  • Processing of data subject requests submitted by you via the Bosch Privacy Hub due to a legal obligation (legal basis: Art. 6 para. subpara 1 lit. c GDPR).This includes, among other things, the verification of your person and (in the case of a request for access or data portability under Art. 15 or 20 GDPR) the provision of the data package in a download portal.

For the Purpose of Providing you access to the Demoversion, the transfer of your data to the following controller is required: Bosch Digital (Legal Basis for the Transfer is Joint Controllership with Bosch Digital when using SingleKeyId for Authentication).

What is the basis for joint responsibility
In connection with the provision of SingleKey ID as an exclusive single sign-on solution of the Bosch Group, the aforementioned parties will work closely together. This also concerns the processing of your personal data. The parties have jointly determined the order in which this data is processed in individual process steps. As such, they are jointly responsible for the protection of your personal data during the process stages described below (Art. 26 GDPR).

As a data subject according to GDPR, you have a right to the following information from the aforementioned parties.

What have the parties agreed?
In line with their joint responsibility for data protection, the aforementioned parties have agreed which of them is responsible for meeting specific obligations under GDPR. In particular, this concerns the exercise of the rights of data subjects (Art. 15–21 GDPR) and the fulfillment of the obligations regarding provision of information (Art. 13–14 GDPR).

This agreement is required because during the provision and operation of SingleKey ID and its functions, personal data is processed in various process steps and by various systems operated either by Bosch.IO GmbH or by all parties named in the list of parties.

What does this mean for you as data subject?
Although a joint responsibility exists, the parties shall fulfill the obligations under data protection law in accordance with their respective responsibilities for the individual processing activities as follows:

  • In accordance with their joint responsibility, the parties shall provide the data subject with any information required under Art. 13 and 14 GDPR in a precise, transparent, intelligible, and easily accessible form, using clear and plain language. This information shall be provided free of charge. For this purpose, each party shall provide the other party with all the necessary information from its area of operation.
  • The parties shall inform each other without delay of any legal positions asserted by you as data subject. They shall provide each other with all the information required to respond to requests for information.
  • As data subject, you will, in principle, receive the information from Bosch Digital GmbH. Regardless of this internal agreement, you may also assert your rights, as data subject, directly against any party.

Who are the contracting parties?
All Bosch entities that have signed the Adherence Letter to the Joint Controller Agreement are referred to as contracting parties.
The current list of parties is published on the SingleKey ID website under https://singlekey-id.com/en/data-protection-notice/. Every iteration of the list of parties and the date of potential changes can be requested directly at the Bosch Digital GmbH.

Please be aware that if you request Bosch Manufacturing Solution GmbH to delete your account or your personal data, this does not automatically result in the deletion of your SingleKey ID account. Resolving service disruptions as well as for security reasons, Safeguarding and defending our rights.
To eliminate malfunctions or to preserve evidence in the event of security incidents, we process your personal data to fulfill our legal obligations in the area of data security, Art. 6 (1) lit. c DSGVO. In addition, we have a legitimate interest in eliminating malfunctions and ensuring the security of our website, Art. 6 (1) lit. f DSGVO. Each time you use the internet, your browser is transmitting certain information which we store in so-called log files.

We store log files to determine service disruptions and for security reasons (e.g., to investigate attack attempts) for a period of seven days and delete them afterwards. Log files which need to be maintained for evidence purposes are excluded from deletion until the respective incident is resolved and may, on a case-by-case basis, be passed on to investigating authorities.

Log files are also used for analysis purposes (without the IP address or without the complete IP address) see module “Advertisements and/or market research (including web analysis, no customer surveys)”.

In log files, the following information is saved:

  • IP address (internet protocol address) of the terminal device used to access the Online Offer;
  • Internet address of the website from which the Online Offer is accessed (so-called URL of origin or referrer URL);
  • Name of the files or information accessed;
  • Date and time as well as duration of recalling the data;
  • Amount of data transferred;
  • Operating system and information on the internet browser used, including add-ons installed (e.g., Flash Player);
  • Port and http status code (e.g., “Request successful” or “File requested not found”).
  • Website ID and corresponding server name;
  • Requested action, e.g. GET or POST method

1.5 Joint Controllership (Art. 26 GDPR)

Regardless of any data transfer based on a product interest by you, we, Robert Bosch Manufacturing Solutions GmbH, process your personal data jointly within the scope of Customer Management, Enterprise Planning and Project Management, with Bosch Rexroth AG, Zum Eisengießer 1, 97816 Lohr, Germany. Single processing sections within the context of joint sales projects, as described below, are jointly controlled by means of access authorizations (Art. 26 GDPR).

Regarding their joint controllership, the above mentioned parties have agreed which of them fulfills which obligations under the GDPR, in particular the exercise of data subject rights and the fulfillment of the information obligations according to Art. 13, 14 GDPR.

The agreement is necessary because personal data is processed within different systems that are controlled by party 1 or party 2.

Even if there is a joint controllership, the parties fulfill the legal data protection obligations in accordance with their respective responsibilities for their individual processings as follows:

  • Within the scope of the joint controllership
    • the Robert Bosch Manufacturing Solutions GmbH is responsible for the processing of personal data in the context of Customer Management, Enterprise Planning and Project Management in their CRM system and
    • the Bosch Rexroth AG is responsible for the processing of personal data in the context of Customer Management, Enterprise Planning and Project Management in their CRM system.
  • The Robert Bosch Manufacturing Solutions GmbH and Bosch Rexroth AG provide the data subjects with the information required in accordance with Art. 13 and 14 GDPR in a precise, transparent, comprehensible and easy accessible manner in a clear and plain language free of charge. In doing so, each party shall provide the other party with all necessary information from its sphere of activity.
  • The parties shall inform each other without undue delay of any legal positions exercised by data subjects. They shall provide each other with all information necessary to comply with access requests.

Data protection right can be exercised either at Robert Bosch Manufacturing Solutions GmbH or at Bosch Rexroth AG. Data subjects will receive the requested information from the party where the rights were exercised.

1.6 Service providers (general)

We involve external service providers with tasks such as web analysis, programming, data hosting and hotline services. We have chosen those service providers carefully and monitor them on a regular basis, especially regarding their diligent handling of and protection of the data that they store. All service providers are obliged to maintain confidentiality and to comply with the statutory provisions. Service providers may also be other Bosch group companies.

2. Usage of Cookies

In the context of our online service, cookies and tracking mechanisms may be used.

3.1 YouTube

This online offer uses the YouTube video platform, which is operated by Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland (“YouTube”). YouTube is a platform that enables the playback of audio and video files.

In order to enhance your data protection when visiting our website, the YouTube content is integrated into the page in “enhanced privacy mode.”

This means that the video will only be loaded and a connection to YouTube, including a transmission of log data to YouTube, only established once the corresponding plugin has been activated. If the plugin is activated, data will also be transmitted to YouTube and the Google DoubleClick advertising network contacted. This may trigger further data processing operations over which we have no control. If the YouTube video is loaded, cookies are also used.

4. Communication tools on social media platforms

We use on our social media platform (Twitter and LinkedIn) communication tools to process your messages sent via this social media platform and to offer you support.

When sending a message via our social media platform the message is processed to handle your query (and if necessary additional data, which we receive from the social media provider in connection with this message as your name or files). In addition, we can analyze these data in an aggregated and anonymized form in order to better understand how our social media platform is used.

We will forward the personal data you provide to the Bosch legal entity responsible for the processing of your query (for example, in the event your query refers to a product that is distributed by another Bosch legal entity). The legal basis for the processing of your data is our legitimate interest (Art. 6 para. 1 lit. f GDPR) or, if applicable, an existing contractual relationship (Art. 6 para. 1 lit. b GDPR). The processed personal data is deleted 180 days upon receipt of your message the latest.

Response Timing and Format
We endeavor to respond to a verifiable consumer request or access request, as applicable, within thirty (30) days of its receipt, or sooner where required by applicable law (including Canadian Privacy Laws). If we require more time (up 60 days in total), where permitted by applicable law, we will inform you of the reason and extension period in writing. Opt-out request will be honored as soon as feasibly possible, but no later than 15 days from the date we receive the request.

If you have an account with us, we will deliver our written response to that account. If you do not have an account with us, we will deliver our written response by mail or electronically, at your option.

  • Audio and video: Web seminar participants are muted and cannot use the audio or video features.

1.2.3. Recording of the web seminar to provide replay
Our web seminars are recorded so that they can be replayed afterwards. You can also access the recorded web seminar via the link you will receive after submitting the contact form. In order to retrieve the link, it is not necessary to log in again. The categories of data processed during the recording can be found in 1.2.2.
